Additional Information
Policies
- Rental fees: Rentals are not considered reserved until renter has paid the associated rental fees.
- Refunds/Cancellations: Renters may obtain a 90% refund when a request is made to us by noon (PST) at least 7 days prior to the day that equipment is scheduled to be retrieved.
- Eligibility: All Recreation members are eligible to rent equipment. The only non-members that may rent equipment are those that are current UCLA students or staff/faculty.
- Operating hours: Rentals must be picked up and returned during open hours only, which are posted to the Rental Center website. Renters will not receive refunds/discounts for equipment that they fail to pick up on the day their rental begins.
- Late fees: Equipment that is returned late will be charged a daily late fee per item, as described in the fee chart. Each calendar day that the item is late will result in one day of late fees. Late items may only be returned during open Rental Center hours. For example, if the Rental Center is only open on Tuesdays and Thursdays, and the equipment is due to be returned on Thursday, but the renter fails to return it on time and instead returns it on the following Tuesday – this will result in 5 days of late fees applied.
- Replacement fees: If an item is lost, destroyed, or stolen, a replacement fee will be billed to the renter. If 3 weeks pass from the scheduled equipment return date, and a renter has failed to return the item, the item will be considered stolen/lost and the renter will be billed a replacement fee.
- Do not clean sleeping bags and clothing: Please do not attempt to wash/dry sleeping bags or clothing rentals prior to return. Sleeping bags and clothing require special washing/drying procedures. So, the Rental Center will perform all washing/drying of sleeping bags and clothing upon return, and we ask that you please not wash/dry these items yourself. But, if for some reason you do wash/dry a sleeping bag or clothing item, you must do so in accordance with manufacturer instructions
- Cleaning/repair fees: All equipment must be returned clean, dry, and in a comparable state of readiness to that in which it was originally checked out. The only exceptions are for sleeping bags and clothing, which will be cleaned by the Rental Center after each renter returns (see above policy). If a returned item requires further cleaning, drying, or repair, the renter will be billed $60 per hour for all resulting work, plus costs for replacement parts.

Frequently Asked Questions
How to Rent/Return Equipment and Rental Durations
Q: How may I rent equipment?
A: First, fill out the Outdoor Equipment Rental Request form. The Outdoor Adventures Office will respond within 5 business days to let you know if your requested items/dates are available, and what your fee total would be. If you wish to you confirm the reservation you will follow the instructions provided in that email. Then you may pick up your equipment on the day you have scheduled your reservation to begin. Equipment must be picked up and returned during posted business hours.
Q: How does a UCLA staff/faculty member rent equipment on behalf of their UCLA department/program/course (e.g. a department-sponsored field trip, an athletics coach taking the team camping, etc.)?
A: Start by submitting the Outdoor Equipment Rental Request form. You will see a question asking if you are renting on behalf of a UCLA department and paying via interdepartmental recharge. Rather than paying fees via credit card, upon returning your equipment the Outdoor Adventures office will ask you for your FAU and will process an interdepartmental recharge for payment.
Q: Can I pick up or return my rental on a date/time outside of the posted open hours?
A: No. Rentals may only be picked up and returned during open hours, which are posted to this website. If you cannot pick up or drop off during these times, then you should not reserve equipment, as there is no other method accepted for pick up or return.
Q: May someone else retrieve the equipment I rented for me?
A: No. Only the person renting the equipment may pick up the items. During pick-up, you will produce your Bruin Card and sign a rental agreement. Only the person who signs the rental agreement is allowed to take the equipment.
Q: May someone else return the equipment I rented for me?
A: Yes, someone else may return the equipment you rented for you. Any issues with the return, such as late, damage, cleanliness, or replacement fees, are handled with you (i.e., the customer who paid for the rental).
Q: How much do equipment rentals cost?
A: The equipment rental fees are based on the duration of your rental reservation and your membership status. Please refer to the pricing sheet for full details.
Q: How long may I keep my rental equipment?
A: You may keep your equipment for as long as you have reserved it for. The Rental Center is typically open during standard academic weeks and is closed during finals weeks and break weeks.
